What to do with an old laptop (before you sell, donate or recycle it)

Before an old laptop leaves your house, check what is on it, copy what matters, and erase it properly. A calm checklist for Indian families.

An old laptop in the cupboard is rarely just a laptop. It might hold the first photos of your child, a decade of emails, scanned Aadhaar or PAN copies, tax files, and passwords your browser has quietly remembered. Before it goes to a buyer, a relative, a school, or the kabadiwala, it is worth pausing.

This guide is for the moment when you think, "We should do something with that old laptop." It is about doing things in the right order.

First, ask: is it still worth keeping?

Many old laptops can still be useful. A laptop ten years old may run slowly but still be fine for a child's homework or as a simple media player, particularly if it gets a fresh operating system and, if you can manage it, an SSD. If it cannot get security updates any more, it is not a good machine for banking or other sensitive work.

If you decide to let it go, there are four routes: sell it, give it to someone, donate it, or send it for recycling. All four need the same preparation.

Step 1: Copy what matters

Before you do anything else, copy the data you want to keep. Check Documents, Pictures, Desktop, Downloads, Videos, and any extra drive such as D:. Check also for email files, old WhatsApp backups, and work or accounts data. Copy to an external drive or a cloud account that you own, then open some files from the copy to confirm they work. A tip from the 3-2-1 idea: keep three copies of what matters, on two different kinds of storage, with one somewhere else. For irreplaceable family photos, that is worth the effort.

Step 2: Sign out and remove your accounts

  • Sign out of your Microsoft or Apple account, Google Chrome sync, email apps, WhatsApp Web, and cloud apps.
  • Deauthorise software tied to your name or licence, such as Office or Adobe.
  • On a Mac, turn off Find My and sign out of iCloud before erasing.
  • Remove saved passwords from browsers.

Step 3: Erase it properly

Dragging files to the Recycle Bin, or even formatting, does not necessarily make them unrecoverable. A proper reset, which removes your files and wipes the drive, is better. On Windows, use Reset this PC and choose to remove everything and clean the drive. On a Mac, use Erase All Content and Settings, or Disk Utility on older models.

For a spinning hard drive that holds highly sensitive material, such as financial records, a stronger erase or physically destroying the drive is a reasonable choice. But, and this matters, only erase after you have verified your copy. Erasing is permanent.

Step 4: Decide what to do with it

What if the laptop will not start?

Do not assume the data is gone. Often the laptop is faulty but the drive inside is fine. Do not keep forcing it to start, and do not throw it away. A technician can often read the drive separately. What if it belonged to someone who has passed away?

Please do not sell or recycle it quickly. It may hold photos and documents that your family will want later, and passwords that may be needed for accounts and services. Keep the laptop safe and take your time. This is a good moment to ask for help.

Is formatting enough before selling a laptop?

Not always. A quick format may leave data recoverable with the right tools. Use the reset option that removes everything and cleans the drive, and only after you have verified your copy of the files you want to keep.

Can I recycle a laptop without removing the hard drive?

You can, but if the drive holds personal data you cannot be sure who will handle it. Erase it properly, or remove and destroy the drive, and use an authorised e-waste recycler.

What if my old laptop does not turn on?

The data may still be on the drive. Stop trying to start it repeatedly and do not throw it away. A technician can often read the drive separately, though results cannot be guaranteed.
